What is the difference between Tasks and Sub-tasks?

A Task is a step that assignees must take, to move forward in an Experience. Some examples could be "Provide some more personal details" or "Register for one or more courses". 

Sub-tasks are the individual actions that the assignees will need to perform to complete that Task. Examples of Sub-tasks are "Answer a question", "Upload a file", and "Watch a video".

A Task must always have at least one Sub-task, but it can also contain multiple Sub-tasks and Content Blocks.

Sub-tasks can send data to Dado fields, your HRIS, or other data destinations

Sub-tasks can be set up so the data input by assignees, or a record of when assignees complete them, will be sent to a Dado field, to your HRIS, or to another destination (like an Excel Online Workbook or Google Sheet).

Sub-task types available for all Organizations

Confirm Action

The most basic Sub-task type, this displays a button that the assignee can click to confirm they have done a specific action. We suggest combining this Sub-task with a Text block that describes what the assignee needs to achieve. 

Useful for: "real-life" tasks that can't be digitally tracked, e.g. having lunch with a colleague, sending or receiving something in the mail, etc.


This Sub-task allows you to provide assignees with a link that they should visit, and to know whether they have actually visited that link or not. The Sub-task will be marked as complete once the assignee clicks on the link and visits the page.

Useful for: sharing presentation decks, introduction manuals, articles in the company wiki, etc. 


Read Document

Allows you to upload a PDF document that the assignee can read directly on their employee page or download. There are two options to complete the Sub-task, the assignee must view all pages of the document or download the document.

  • If "Complete on Download" is switched off: the assignee must view every page of the document, then click a button at the end to confirm they've read the document. The sub-task completes only when both are done.

    If "Complete on Download" is switched on: the assignee must download the document to complete the sub-task.

Useful for: documents that it's critical for Participants to read, such as Codes of Conduct or InfoSec guidelines.


Answer Question

This Sub-task type allows you to ask the assignee for a piece of information and sync the answer to an external system such as your HRIS or an Excel Online Workbook/Google Sheet.

Useful for: gathering any kind of additional information you need to know about the Participant, or want to use to personalize their path through the Experience. 

Data collected via this Sub-task can be stored as a Custom Field on the Participant's User Profile, and even used to make Target Audiences later in the Experience.


Provide Address

This Sub-task type is a specialized version of the 'Answer Question' type, designed to collect postal addresses in a structured format. The answer is synced to  an external system such as your HRIS or an Excel Online Workbook/Google Sheet. 


Useful for: when you need addresses in a specific, structured format, to integrate with other systems.


Select Option

This Sub-task type requires assignees to select one or more options you present to them. You can specify whether the assignee can select only one option, or more than one.  The answer is synced to an external system such as your HRIS or an Excel Online Workbook/Google Sheet. 


Useful for: gathering any kind of additional information you need to know about the Participant, or want to use to personalize their path through the Experience.


Data collected via this Sub-task can be stored as a Custom Field on the Participant's User Profile, and even used to make Target Audiences later in the Experience.


Upload File

Ask the Assignee to upload a file, e.g. a photo or a document. This file can be mailed directly to an email address or uploaded to Sharepoint/Google Drive. 

You can set which folder in Sharepoint/Google Drive these files are placed in, and specify the file name (including by using variables) to ensure your files stay well-organized.

Useful for: collecting a photo of the Participant.


Watch Video

This Sub-task embeds a video that the assignee can watch directly on their Personal Experience page. The video should be hosted on a platform that allows embedding such as YouTube, Vimeo, or an LMS that supports external embed links. 

To complete the Sub-task, the assignee must watch the video until the end.

Useful for: introducing the Participant to your cultural values, sharing a welcome message from the leadership team, or short training videos.


Assign Supporting Actor

This Sub-task asks the assignee to select another employee to be a particular kind of Supporting Actor for the Participant. For instance, you could ask a Manager to select a Mentor for their direct report, as part of a promotion Experience.

To complete the Sub-task, the assignee must input the email address and hit Submit.

Useful for: requesting Managers to select a Mentor or Buddy for their direct report; enabling employees to select from a choice of Mentors.

Prerequisite: you must have set up this supporting actor in your Experience first, before you can add this Sub-task. Find out how to do this in our Supporting Actor help article

Data Field Change

This Sub-task is automatically completed when the value of a Dado data field changes. This allows you to track to-dos completed outside of Dado. 
For example:
  • Employees are given a Sub-task to complete their background check in an external platform
  • The background check platform syncs info about the statuses of background checks to Dado via an import source. This import source must be set up in Dado by an Admin.
  • When an employee completes their background check, the import source is updated to reflect this
  • At the next import, Dado’s data will be updated to reflect the employee’s completed background check – and this triggers the sub-task to complete
When setting up this subtask, you can specify 
  • Instructions and links to guide employees on what to do
    • eg they should follow a link to your background check platform, and complete their check there
  • Specific rules for the completion criteria
    • Here you can specify which Dado fields should have which particular values, for the sub-task to be considered complete
Useful for: tracking tasks completed outside of Dado.

Tip: when using a Data Field Change sub-task, we strongly advise not setting daily reminders. This is because the sub-task completion will only occur after the next import. The employee could complete their to-do in the external system several days before the next import – especially if you do not have automatic imports set up. If the employee receives Dado reminders after they’ve completed the to-do in the external system, this can be confusing and frustrating.


Sub-task types dependent on Integrations

Some types of Sub-task are only available if you've set up particular integrations with your Dado account.

Create Calendar Event

Use this sub-task to ask the assignee to schedule a meeting with a specific person. You can define which person they meet with, as well as suggest a date and time. Once the assignee has clicked the “Open in Google Calendar” or "Open in Microsoft Outlook" button, they will be directed to a meeting schedule page where they will be able to make any changes to the meeting's date and time before scheduling the meeting.
This subtask is marked as complete once the assignee has opened the scheduling link.
Prerequisites:In order to use this Subtask you will need to have either the Microsoft 365 or Google Workplace integration set up. 
Useful for: Ensuring the Participant has the key face-to-face touch points in their Experience.


Calendly – Book event

This Sub-task asks the assignee to set up a meeting using your Calendly integration. The meeting options shown here are determined by the meeting types set up and active in the Calendly account you've integrated with Dado.

To complete the Sub-task, the assignee must book a meeting of the type selected.

Useful for: booking meetings when the other person in the meeting has a very busy calendar; booking meetings with any one of a group of people.

SwagUp – Order

This Sub-task asks the assignee to order swag using your SwagUp integration. 

You can select which Swag items to include in the Sub-task, from any active item in your SwagUp account. You will also need to specify a person who will be contacted with issues assignees encounter when trying to order. To complete the Sub-task, the assignee must select a swag item, fill in their details and click the Submit button.

Note: this Sub-task type will only appear as an option if you have set up a SwagUp integration.
