You can use any type of Sub-task to fill out a Dado data field, or send data to another destination, like your HRIS or a Google Sheet.
This can be used in a number of ways:
- collect additional information to fill out an employee's HRIS profile, during their onboarding Experience
- collect new hire's equipment choices, and share this with your IT team via a dedicated Google Sheet
- provide your Compliance team with a dedicated Google Sheet to track new hires completing mandatory tasks like background checks
- ask new hires for information that you'll later use to personalize their experience – for instance, will they be working in-office, remotely or hybrid
How to set up a Sub-task to send data to a Dado field
Sending data to a Dado field enables you to use it later in that Experience or future Experiences. For instance, during an onboarding Experience, you could ask a Participant for a short bio introducing themselves, then store that in a Dado field so you can later send it on to their Manager.
Here's how to set this up:
- First, think about which field you will store this data in. If you do not already have a field that you can use for this data, please first create the field following the instructions in this article.
- Go to the edit mode of your Experience and open the Timeline.
- Click on the Task and, in the central section, click on the Sub-task you'd like to edit.
In the right-hand section, under the heading "Data Destinations" click "Add Destination".
- In the first dropdown, select "Dado".
- In the second dropdown, select from any existing Dado field.
- Click "Save" to save the Data Destination you've just set up.
- Now save the Task by clicking the "Save" button in the top right of this window.
- Close the Task window and save the experience using the "Save changes" link on the bottom right.
Be careful of re-using the same Dado field
It's possible to set multiple Sub-tasks to send data to the same Dado field. It's also possible to import data to a field using an Import Source, and simultaneously have a Sub-task sending data to the same field. This can lead to situations where different Sub-tasks and Import Sources overwrite data already entered into a Dado field.
Consequently, we recommend creating new customer fields wherever that's possible.
How to set up a Sub-task to send data to a Google or Excel Online Sheet
You can set Sub-tasks to send data to a Google/Excel Online Sheet capturing all data for that Experience; or separate, dedicated Sheets for particular colleagues/departments. For instance, you could create a Sheet that provides your IT team with the information they need to order hardware for new hires and ship it to the right address.
Here's how to set this up:
- Before setting this up, you will need to have integrated Dado with your Google or Microsoft Workspace.
- For guidance on how to do this, see our articles on Google Workplace Integration or Microsoft Integration
- Go to the edit mode of your Experience and open the Timeline.
- Click on the Task and, in the central section, click on the Sub-task you'd like to edit.
- In the right-hand section, under the heading "Data Destinations" click "Add Destination".
- In the first dropdown, select either "Google Sheet" or "Microsoft Excel"
- In the second dropdown, either select a Google/Excel Sheet that already exists in this experince; or "Use a new sheet"
- If you select "Use a new sheet", a new window will appear. In this window you can select which existing Dado fields you would like to appear in this new spreadsheet (alongside the data from this Sub-task).
- In the last field, give a name to the column in which this Sub-task data will appear.
- Click "Save" to save the Data Destination you've just set up.
- Now save the Task by clicking the "Save" button in the top right of this window.
- Close the Task window and save the experience using the "Save changes" link on the bottom right.
By default, Dado will create a new Excel/Google sheet for each Data Destination you set up. This sheet will be owned by your Google Integration User/Microsoft Integration User (the account used to set up the Google or Microsoft integration)
If you would like Dado to sync data to a sheet that already exists, the Dado help team can set this up for you. To do this, please:
- Ensure that your Google/Microsoft Integration User has edit access to the existing sheet you'd like data to be synced to
- Set up the Data Destination as described above
- Provide the Dado help team with the URL of your existing sheet, and ask them to update the data destination
