How to reassign Tasks and Messages

When your process changes, or an individual's role changes, you'll likely want to reassign the Tasks and Messages Dado sends to the newly responsible individual. This article explains how you can do this.

How to reassign tasks/messages in just one person's experience

You might want to do this when:

  • An employee switches to a new manager
  • Someone goes is out of office for a few weeks, and someone else needs to take over their tasks

In this situation, you just need to change who's filling this supporting actor role, in this particular employee's experience

  • Go to the Experience page in Dado and scroll down until you see the Participants' table
  • Find the individual employee whose experience you need to change, and click on their name
    • By default, this table will list the name of the participants in experiences. So if you need to change Jane Doe's manager, look for Jane Doe in the table
  • A new screen will appear showing you this employee's experience
  • At the top of the screen you'll see dropdowns for each supporting actor. Click on the actor you want to re-assign and select the new person who should be in that role
  • Click the blue Save changes button at the bottom right of the screen.

This will NOT resend any Tasks/Messages that have already been sent out to the person previously in this role.

You can use the Resend button to resend any relevant Tasks/Messages after reassigning this role. More information on the Resend button.



How to reassign tasks and messages to a new supporting actor, for all experiences going forward

You might want to do this when:

  • Responsibilities shift between departments – eg a particular task used to be done by HR but now it's done by Office Managers.
  • You have task(s) which are always done by a particular individual (eg it's always Babatunde running this training), and you set up a 'Babatunde' supporting actor. But now the person who does those tasks has changed (eg Babatunde has handed over training responsibilities to Elena), and you need a new supporting actor.

This change needs to be made on the overall experience level:

  • Go to the Experience you want to change, and click on the Edit button on the top right, which takes you into Edit Mode
  • Click on Timeline in the navigation on the right
  • Above the Timeline, you'll see a list of the existing Supporting Actors. Click on the blue Manage link


  • A sidebar will appear. Click Add supporting actor, and set up your new supporting actor
  • Close the sidebar once you've finished make this new supporting actor.
  • Now reassign the relevant Tasks/Messages from the old supporting actor to the new one
    • We recommend you start by filtering the timeline to show only the tasks assigned to the old supporting actor. Do this by hovering over the old supporting actor's name and clicking the eye icon


    • Click on each Task/Message that should be reassigned to change it. Click on the Edit link in the Sender and Recipient or Assignee and Sender section on the left-hand side of the window.


    • Click on the new supporting actor you just created. Don't forget to select the channels where notifications should be sent.

    • Click on the blue Save button in the top right of the window.
    • When you've updated the assignees for all relevant Tasks/Messages, save the Experience by clicking the Save changes link in the bottom right.

This will NOT reassign any Tasks/Messages that have already been sent out to the old Supporting Actor. If you want to do this, we recommend you follow the instructions above under How to reassign tasks/messages in just one person's experience; and then resend the relevant Tasks and Messages once the actor has been reassigned.


How to change who fulfils the role of a particular supporting actor, for all experiences going forward

You might want to do this when:

  • A new team member takes over responsibilities from another employee – eg a new HRBP starts work.
  • A Supporting Actor that was a team (eg the IT team) has a new shared email address

Once your Experience is active, it is not possible to change the way a particular Supporting Actor is assigned. That means:

  • switching Supporting Actor type eg from Assigned by sub-task to Based on rules
  • Changing the rules for a Supporting Actor of type Based on rules
  • Changing the individual who is always assigned, for a Supporting Actor of type Specific user
  • Changing the data field used for Supporting Actors of type Referenced in an employee's profile

This is to prevent unexpected side-effects, like the unwanted reassignment of Supporting Actors for participants whose experiences are already running.
