Importing employees and data from Airtable

As well as connecting Dado to your HRIS, it's possible to import data about your employees from an Airtable table. 

When you do this, each employee will be created as a Dado user. These users won't have access to the Admin platform that you are using, so they won't be able to edit or view Experiences. Instead, they'll only be able to see the Tasks and Messages assigned to them, in the Experiences they're part of.

Dado will never change any of the information in your Airtable. So you can be confident connecting Dado up to an existing Airtable table that you already use as part of your internal process.

Importing your users from Airtable can be useful if you already use one of these tools as part of your existing processes; or if you're not yet ready to set up an HRIS integration yet – for instance, if you're still testing out your first Experience with a few users.


How to import users from Airtable

Before setting this up, you will need to have integrated Dado with your Airtable account.

There are 2 steps to this process:

  1. Setting up your Airtable table as an Import Source
  2. Running your first import

1. Setting up your Airtable table as an Import Source

  1. Go to the Users tab and click on 'Import Sources' in the left-hand navigation.
  2. Click the 'Add Import Source' button in the top right.
  3. Select 'Airtable' from the list of options that appears.
  4. On the screen that now appears, start by choosing a name for this Airtable Import Source.
    • This won't change anything in your Airtable account. The name you set here will only be used in Dado to help you distinguish between different Import Sources.
  5. Next input the Base ID and Table ID you wish to use as the data source. You can get these IDs from the URL of the table you wish to use

    • Base IDs begin with "app"
    • Table IDs begin with "tbl"
  6. Now it's time to customize the data imported from this table, using Field Mappings. 
    • In the fields on the left side, fill in the names of the Airtable columns you'd like to sync to Dado.
    • The fields on the right side show which Dado field each column is mapped to. Data from that table column will be entered in the field it's mapped to.

    • You must include at least one email address in your field mappings. Without an email address, Dado will not be able to create new users or update data for existing users.
    • If you change your mind about a particular field mapping, you can delete it by clicking the 'x' icon on the right of that row
  7. Once this list of Field Mappings reflects what data you want to import from your table, click "Save settings".
  8. You've successfully created this Import Source. You can easily go to the Airtable table at any time, by clicking on the 'Open Import Source' link

  9. If you ever want to change what data gets imported from this table (for instance, so you can import more data), click on the name to open up the Field Mapping settings.
