Target Audiences: how to send a Task or Message to just one Target Audience

When you hide all blocks in a Task or Message for an Audience, the Task or Message will never be sent to that Audience.

This can be used to create tasks specific to only some Target Audiences. For instance, we could create a Task for remote employees to provide their postal address, that isn't sent to any other employees.

How to set this up:


Step 1: Create your target audience

Go to the Message/Task you'd like to send to just one audience. Click Edit next to "Target Audiences" on the left side of the screen.

The list of Audiences is now displayed. Note that there is always one default target audience called "Everyone else". 

To add a new audience, click "Create New Audience". The left section will now show the settings for that audience:

  • Color: click the square to pick the preview color for this Audience. This is just for you and useful for seeing which blocks belong to which Audience.
  • Audience Name: an internal name for the Audience. Not shown to employees. 
  • Audience Rules: use these rules to determine who will be part of this Audience. The rule builder works the same as the one used when selecting Participants for the Experience.
  • Completion Criteria: Define how many of the assigned Sub-tasks the participant must complete for the task to be considered done. (We'll discuss this option later in this article)
  • Show blocks hidden for this audience: allows you to preview or hide the blocks that are used by other Audiences in this task. Useful to make sure you're not missing anything. (We'll discuss this option later in this article)

For example, using these rules we can create a new Audience that targets anyone whose roles include the words Engineer or Designer. 

To check whether your rules are capturing the employees you intended, you can click the "Preview matching employees" link below the rules.

We suggest you save your new Target Audience at this point, to avoid losing your progress.

To do this, hit the "save" button at the bottom of the left section.

Step 2: Show all parts of your task/message to this audience

Look at the center column and make sure all the content you want to send to your audience is visible.

If anything is missing, turn on the "Show blocks hidden for this audience" toggle in the left-hand section.

Hidden blocks will appear translucent in the center column. If you hover over a hidden Block you'll have the option to un-hide it for that Audience, by clicking 'Show block'.

Click the save button in the left hand column when you're done!

Step 3: Hide all the blocks for the Everyone Else audience

There is always a default target audience called "Everyone else". If we hide all the blocks for the 'Everyone else' Target Audience, this Task won't be sent to anyone except the people in the new target audience you just set up.

To hide blocks from Everyone Else, click the Edit link next to Everyone Else in the left hand column.

Then hover over all the blocks in the center column, and click the green "Hide block" button.

Click the Save button in the left hand column, then click the back link

Look at the Everyone else target audience in the left hand column, and confirm that it says "Won't be sent for this audience". This confirms that this Task/Message won't be sent to this Audience. 


Step 4: save your changes

Save your changes to this Task/Message by clicking the save button at the top right. Then close this the Task/Message window by clicking the little X near that button.

Once you've made all your changes to this experience, save the whole experience, by clicking the save button in the bottom right.
